Job Summary:

 

We are seeking a proactive and organized Office & Admin Assistant to support the day-to-day operations of our office. You will work in Espoo Citycon’s Iso Omena office. In this role, you will provide general administrative support to ensure smooth and efficient office functions. Your tasks will mainly include managing office reception, managing office supplies and inventory, coordinating meetings and handling communications. You will also have supporter role in onboarding new employees, organizing office events and activities, and maintaining a clean, welcoming work environment. This is a dynamic and hands-on role suited for someone who enjoys a variety of tasks and creating a positive office atmosphere. You will be reporting to HR Manager.

 

Key Responsibilities:

 

  • Handle incoming phone calls, emails, and other communication
  • Manage office supplies, inventory, and ordering of materials as needed
  • Assist with scheduling meetings, appointments, and travel arrangements
  • Assist on coordinating and organizing office events, meetings, and team activities
  • Assist in onboarding new employees and help with office orientation
  • Ensure the office environment is clean, organized, and welcoming 

 

Qualifications and Skills:

 

  • Experience in an administrative, office support, or coordinator role
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills in English and in Finnish
  • Proactive, service-minded, and detail-oriented approach to work
  • Ability to work both independently and collaboratively in a team environment
  • Good IT skills (Word, Excel and PowerPoint)
  • Experience with coordinating events, meetings, or travel is beneficial
  • Positive attitude and willingness to take initiative in maintaining a smooth and welcoming office environment
